Prophet Scheduling Privacy Policy

This Privacy Policy explains how Prophet Scheduling LLC ("Prophet," "we," "us," or "our") collects, uses, discloses, retains, and protects information in connection with the Prophet scheduling and field-service platform, related websites, integrations, and support interactions (collectively, the "Services"). It also explains important choices and rights. This Policy should be read together with the Prophet Terms of Service and, for business customers, the Prophet Data Processing Addendum where applicable.

1. Our Role

Prophet handles information in more than one capacity. For account registration, billing administration, security, product administration, direct support, and our own business operations, Prophet may determine the purposes and means of processing. For much of the information a business customer uploads or controls about its clients, employees, contractors, or other individuals, Prophet generally processes that information on the customer's behalf as a service provider or processor. When Prophet processes information on behalf of a customer, that customer is responsible for its own notices, instructions, and legal obligations, and requests concerning customer-controlled information may need to be directed to that customer.

2. Notice at Collection — Categories, Purposes, and Retention

The categories below describe information Prophet may collect depending on the features you use. Prophet retains information only for as long as reasonably necessary for the listed purposes, to provide the Services, follow customer instructions, maintain security and business records, resolve disputes, enforce agreements, and comply with law. Retention varies by account status, data type, customer settings, backup cycles, and legal requirements.

Sale/advertising note: Prophet does not sell Customer Data. Prophet does not use QuickBooks data or customer-controlled business data for unrelated advertising. If Prophet introduces practices that create additional opt-out rights under applicable privacy law, Prophet will provide the notices and controls required by that law.

3. Information We Collect

Information you provide or your organization provides

  • Account and profile information, including name, business name, email address, phone number, user role, business address or home address when supplied for account or operational purposes, authentication information, and preferences.
  • Scheduling and business records, including appointments, availability windows, services, job duration, priority, customer details, price-book information, leads, service plans, notes, estimates, invoices, assignments, and related workflow information.
  • Team and workforce information, including employee or contractor names, roles, availability, shifts, assignments, activity, performance information, and job-status selections.
  • Communications and attachments, including messages, email or SMS content, call-related records where enabled, delivery information, files, images, PDFs, notes, and support communications.
  • Billing and transaction information associated with subscriptions, invoices, payments, and refunds. Depending on how a payment feature is implemented, payment-card information may be collected directly by a third-party payment processor rather than by Prophet.

Information from connected services

When you connect a supported integration, Prophet may receive information authorized through that service. For example, a QuickBooks connection may provide a QuickBooks company identifier and customer, invoice, item, payment, or other accounting-related information permitted by the scopes you authorize. Other enabled integrations may provide communications, payment, email, routing, or related data needed for the requested feature.

Technical information

Prophet may collect IP address, browser or device information, application version, timestamps, logs, diagnostics, authentication and security events, crash or error information, and feature-usage information needed to operate, secure, troubleshoot, and improve the Services.

4. Job Status and No GPS Tracking

Prophet does not use device GPS or continuous device-location tracking to determine job status. Job statuses are based on user actions in the Services, such as a technician selecting "On Way," "Finish Job," or another available status control. Prophet may record the status selected, the user who selected it, and the date or time of the action. Prophet does not use those status buttons to independently verify a person's physical location.

5. How We Use Information

  • Provide scheduling, routing, CRM, workforce, estimate, invoice, service-plan, communications, reporting, and other features requested by customers.
  • Generate, optimize, or recommend schedules, assignments, routes, priorities, workload allocations, and related operational outputs based on customer-provided data and configured rules.
  • Authenticate users, maintain sessions, manage team permissions, and protect accounts.
  • Connect and synchronize authorized third-party services and perform actions users initiate.
  • Process subscriptions, billing, transactions, and related account administration.
  • Operate, maintain, troubleshoot, secure, monitor, and improve reliability and performance.
  • Provide customer support and communicate about service, security, policy, billing, or account matters.
  • Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our agreements.
  • Comply with law, lawful requests, and enforceable legal obligations; establish, exercise, or defend legal claims.

6. Automated Scheduling and Work Allocation

Prophet may process appointment, worker-availability, eligibility, duration, priority, travel, and related operational information to generate or recommend schedules and worker assignments. Prophet provides these features to the business customer, which controls how the outputs are used. Customers are responsible for determining whether laws applicable to their workforce or business require notice, explanation, access, human review, opt-out, appeal, or other safeguards relating to automated scheduling or work allocation. Where Prophet acts as a service provider or processor, we will provide assistance required by the applicable Data Processing Addendum and law.

7. QuickBooks and Intuit Data

When you connect QuickBooks, Prophet uses OAuth or another authorization method made available by Intuit. We request permissions reasonably necessary for the integration features you enable and do not ask you to provide your QuickBooks password to us.

We use data obtained from Intuit APIs to provide or improve user-facing features you request, maintain and secure the integration, comply with law, and otherwise as permitted by applicable Intuit platform requirements and your authorization. We do not sell QuickBooks data or use it for unrelated advertising. You may revoke access using available disconnect controls or through your Intuit account. Revocation stops future API access but may not automatically delete information already lawfully stored; deletion is addressed below.

8. Communications Providers, Payment Processors, and Other Integrations

Where enabled, Prophet may use service providers and integrations to support SMS, calls, email, payment processing, hosting, analytics, security, routing, document delivery, or related functions. These providers process information as needed to perform the requested service and are subject to their own terms and legal obligations. For example, a communications provider may process phone numbers and message data, and a payment processor may process payment credentials and transaction information.

9. How We Disclose Information

Prophet may disclose information in the following circumstances:

  • Service providers and processors that host, secure, monitor, support, communicate, process payments, provide routing or infrastructure, or otherwise help operate the Services, subject to appropriate contractual or legal protections.
  • Connected services when a user directs Prophet to send information to, receive information from, or perform an action through that service.
  • Customer administrators and authorized users within the same organization, according to account roles and permissions.
  • Professional advisers, auditors, insurers, financing sources, and transaction advisers when reasonably necessary and subject to appropriate confidentiality duties.
  • Authorities, courts, or other parties when required by law or legal process, or when reasonably necessary to protect rights, safety, security, prevent fraud, or preserve the integrity of the Services.
  • A buyer, successor, lender, investor, or transaction participant in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the business, subject to applicable law.

10. Cookies and Similar Technologies

Prophet websites or applications may use cookies, local storage, session tokens, SDKs, and similar technologies for authentication, security, preferences, core functionality, diagnostics, and analytics. Optional analytics or similar tools may collect technical and usage information to help us understand reliability and feature performance. Prophet does not use QuickBooks data or customer-controlled business data for cross-context behavioral advertising. Browser-level "Do Not Track" signals are not a substitute for privacy choices required by applicable law; where a legally recognized opt-out preference signal applies to Prophet, we will process it as required.

11. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide the Services, follow customer instructions, maintain business and security records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary based on the type of information, account status, customer settings, backup cycles, legal requirements, and operational need.

You or your organization may request deletion through the support or contact method published with the Services. We may need to verify the request and may retain limited information where required or permitted by law, including for security, fraud prevention, billing, tax, backup integrity, dispute resolution, or legitimate recordkeeping. Deleted data may remain in backups until the applicable backup cycle expires and will not ordinarily be restored for active use except as required for disaster recovery, security, or legal obligations.

12. Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Measures may include encrypted transmission, authentication and access controls, logging, backups, restricted access based on operational need, and vendor-management practices as appropriate to the Services. No internet service can guarantee absolute security. Users should protect credentials and promptly report suspected unauthorized access.

13. Your Choices and Privacy Rights

Depending on where you live and how Prophet processes your information, you may have rights to request access, correction, deletion, portability, restriction, or information about certain disclosures, or to object to or opt out of certain processing. You may also disconnect supported third-party integrations and update certain account information through available settings. We may verify requests before acting on them.

If Prophet is processing your information on behalf of a business customer, the customer may be responsible for responding to your request. In that situation, we may direct you to the customer and assist the customer as required by our contract and applicable law.

14. California Privacy Information

To the extent the California Consumer Privacy Act, as amended ("CCPA"), applies to Prophet as a business for a particular processing activity, California residents may have rights provided by the CCPA, including rights to know/access, correct, delete, and obtain information about sale or sharing, and rights relating to certain uses of sensitive personal information and automated decisionmaking where applicable. Prophet will not discriminate against a person for exercising a right protected by the CCPA. Requests may be submitted through the support or privacy contact method published with the Services.

For information Prophet processes solely as a service provider or contractor for a business customer, the customer generally controls the response to consumer requests, and Prophet will assist as required by applicable law and the Data Processing Addendum. Prophet does not collect precise geolocation for job-status tracking.

15. Children

The Services are intended for business use and are not directed to children. We do not knowingly collect personal information from children under 13 for independent use of the Services. Organizations that create accounts for users are responsible for ensuring that their authorized users satisfy applicable age and legal requirements.

16. International Processing

Information may be processed in countries other than the country where you are located. Where required by applicable law, Prophet or the relevant customer will use appropriate safeguards for cross-border transfers.

17. Changes to This Privacy Policy

We may update this Privacy Policy as the Services, integrations, legal requirements, or business practices change. The current version will be published with an updated effective date. If a change is material, we will provide additional notice when reasonably required by law or through the Services.
